We're looking for a Facilities Coordinator to join our team and be the face of our Brisbane office. This is a diverse and hands-on role, ideal for someone who enjoys balancing reception responsibilities, workplace coordination, facilities administration, and employee support.
With four days per week based in our office reception area and Fridays working from home, this opportunity offers the perfect blend of workplace engagement and flexibility.
About the Role
As the Facilities Coordinator, you will play a key role in ensuring the smooth day-to-day operation of our workplace. Acting as the first point of contact for employees, visitors, contractors, and service providers, you'll help create a positive workplace experience while supporting facilities operations across the business.
No two days are the same. From welcoming guests and managing meeting rooms through to coordinating maintenance requests and supporting workplace services, you'll be at the heart of keeping our office running efficiently.
Key Responsibilities
- Provide a professional and welcoming reception experience for visitors, clients, and employees.
- Manage visitor registration, access, and security procedures.
- Coordinate meeting room bookings, setup, and readiness.
- Arrange catering, transportation, and hospitality services for meetings and events.
- Manage incoming and outgoing mail, courier, and postal services.
- Create and maintain employee and visitor access badges.
- Coordinate office maintenance requests and ensure timely issue resolution.
- Liaise with landlords, building management, contractors, and service providers.
- Support office moves, seating arrangements, and workspace planning activities.
- Conduct workplace inspections and assist with health and safety initiatives.
- Support emergency preparedness and workplace compliance activities.
- Track energy, water, and waste consumption data and support sustainability initiatives.
- Raise purchase requisitions and support facilities-related invoicing and administration.
- Maintain facilities records, documentation, and reporting.
- Provide exceptional customer service and respond to workplace-related enquiries.
- Assist with office events, employee engagement activities, and general workplace support.
What You'll Bring
- Minimum 2 years' experience in Facilities Management, Workplace Services, Corporate Reception, Office Coordination, or a similar role.
- Strong customer service mindset and ability to build positive relationships.
- Excellent communication and interpersonal skills.
- High level of organisation and attention to detail.
- Ability to manage competing priorities in a fast-paced environment.
- Proficiency with Microsoft Office including Outlook, Word, Excel, and Teams.
- Experience working with facilities, visitor management, or service request systems is advantageous.
- Professional, reliable, and discreet approach.
- A proactive attitude and willingness to take ownership of workplace initiatives.
