About the Job
As the Commercial Service Manager, you will offer support to the Primary Service Managers on different purchasing, budget tracking and reporting tasks.
What you do
- Preparation of quotation request in close collaboration with the PSM and supplier, checking on budget availability in the bottom-up Budget, starting the approval workflow and tracking the status of the contacts.
- Alignment of invoices with primary service managers, validation and reconciliation of invoices received from providers and handling corrections of the records. Preparing the provision report based on the contracts/invoices registered in the database.
- Ensure Demand and POs are set-up the way they´re budgeted (e.g. correct Cost Center and Cost Element, capitalization and depreciation or directly expensing).
- Providing different reports and overviews concerning the ordering process, maintaining an External Spend Tracker (list of contracts and respective invoices connected to detailed bottom-up budget IDs).
- Monthly check of external spend related SAP line items (“booked invoices”) against the External Spend Tracker and bottom-up Budget and ensure corrections if needed, supporting monthly reviews by preparing ad-hoc analysis or following up on actions agreed with PSM and Controlling (e.g. Actual vs. Plan deviations).
- Support the budget planning process with data gathering and data entry to SAP interfaces or upload files. Prepare, agree and sign order forms with customers for requested projects / additional run costs (“new business”).
- Trace correct allocation of project costs and charges.
What you bring
- At least 3 years of relevant experience with knowledge of MS Office (PowerPoint, Outlook, Excel, Access - advantageous), knowledge of SAP represents a plus.
- University Degree (preferably Business Administration, Finance or similar).
- Fluent English written and spoken and good communication skills.
- Accurate and reliable way of working with the ability to work independently and be result orientated.
- Perseverance to overcome obstacles, quick perception and good organizational skills.
- Ability to structure sub-processes in a partially non-standardized environment.
- Customer and service oriented demeanor.
- Basic knowledge in AI technologies, principles and their practical use.
