About the Job

This role combines responsibility for ensuring compliance with legal requirements regarding Occupational Health & Safety (Sănătate și Securitate în Muncă–SSM) and Emergency Situations (PSI), with the coordination of facility management activities for the local office.

The position requires a proactive, structured and service-oriented professional who will safeguard a safe working environment while ensuring smooth day-to-day office operations.

 

What you do

  • Ensure the organization complies with all legal and regulatory requirements regarding SSM and PSI, coordinate periodic risk assessments, propose prevention & protection measures and conduct new employee SSM & PSI induction and ensure training records are maintained.
  • Maintain and update documentation related to SSM & PSI (procedures, reports, registers), coordinate incident reporting, investigation, follow-up corrective actions and collaborate with external authorized services where relevant (SSM/PSI providers, audit, inspections).
  • Prepare and support internal and external audits / inspections, act as the primary internal contact point for health & safety topics and oversee day-to-day facility operations to ensure a well-functioning, safe and welcoming office environment.
  • Coordinate office services providers (reception, cleaning, security, maintenance, utilities, technical support vendors), manage office supplies, equipment, access cards, seating & space planning, coordinate repairs, refurbishments, office relocations and workspace improvements.
  • Support procurement and vendor management activities related to facility services. Manage corporate contracts for facility operations and ensure adherence to budget.
  • Liaise with building administration and local authorities when necessary whilst also ensuring effective sustainability, waste management and energy efficiency practices.
  • Contribute to office culture events and onsite engagement initiatives and act as a visible, approachable point of contact for employees on workspace-related needs.

 

What you bring

  • Mandatory: Certification for Occupational Health and Safety.
  • Technical, Engineering, Administrative, HR, or related field preferred.
  • Familiarity with Romanian legal framework in SSM & PSI. Experience in facility management, office administration, or a similar operational role.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Ability to work with external suppliers and manage vendor relationships.
  • English proficiency with good communication skills and a collaborative approach.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Familiarity with AI technologies and GenAI platforms is a strong advantage.
