Job role
As part of our dynamic HR Operations Local team within the HR Department, where you will shine as a subject matter expert, managing all HR payroll and benefits areas for a dedicated client and their employees. Your role is pivotal in providing support across various programs, processes, tools, and systems, ensuring compliance with legislation while delivering exceptional employee experience. As the HR Key User, you will master local HR admin, payroll, and benefits tools like True HR, DP Payroll, Benefit, and the Service Now platform, along with any existing or future HR systems and databases. Your expertise will guarantee high-level accuracy and timely delivery of payroll and benefits services for our dedicated clients.
What you will do
Carrying out prevention and protection activities, ensuring the implementation of necessary measures for workplace safety and health.
Establishing the essential material and technical means for employee safety and health, including the management of protective equipment and resources necessary for safe operations.
Creating and maintaining safety and health signage, in accordance with regulations, at all work points.
Training and informing workers in the field of occupational safety and health, to ensure compliance with legal standards and a well-established safety culture within the organization.
Participating in the investigation of work events that cause temporary incapacity, analyzing and documenting incidents to prevent their recurrence in the future.
Verifying compliance with legal provisions regarding occupational safety and health through periodic inspections and audits, identifying risks and recommending necessary corrective measures.
Monitoring evacuation and emergency intervention activities, including training and preparing designated employees to respond efficiently in case of incidents.
Coordinating communication and well-being initiatives, ensuring alignment with company standards and facilitating constant information regarding health, safety, and well-being.
Managing the employee account administration process in relevant internal systems (related to Occupational Health and Safety, occupational medicine, well-being, etc.), including account creation, deactivation, modification, and management activities in accordance with all company procedures and processes.
Organizing and facilitating training sessions for employees designated in safety responsibility positions (e.g., First Aiders and Fire Evacuation Officers), ensuring proper preparation for efficient response in emergency situations.
Overseeing compliance with legal requirements for medical surveillance of employees, including monitoring and ensuring that mandatory medical check-ups are carried out in accordance with legal requirements and internal processes, and managing situations related to fitness certificates.
Managing safety equipment inspections, ensuring their maintenance and verification to guarantee compliance with regulations and their availability in case of emergency.
Developing and implementing safety policies and internal procedures for the continuous improvement of workplace safety culture.
Monitoring compliance and regular reporting for all safety and health aspects, ensuring that all objectives and reporting obligations are met on time and that regulations are respected.
Supporting well-being programs and providing a point of contact for employees to support their overall well-being, in collaboration with human resources and communication departments to integrate health benefits into organizational policies.
Serving as the contact person for all colleagues regarding the occupational health and safety and well-being process within the company, depending on company requests.
Maintaining contact with internal and external consultants whenever necessary to ensure the correct implementation of all aspects of labor legislation.
Analysing data extracted from various reports, preparing various reports and analyses within their area of activity.
Participating in, managing, or providing support for the implementation of IT applications, projects, and procedures within their area of activity.
Creating presentations for operational meetings, organizing and participating in operational workshops.
Fulfilling any other task closely related to the activity performed.
What you bring
Excellent English language skills, both written and verbal.
Degree in Occupational Health and Safety or a related field.
Health and Safety Inspector Course — minimum 80 hours.
Solid knowledge of OHS regulations and Romanian safety legislation and standards, required for compliance and safety.
Experience in conducting risk assessments and implementing safety programs.
Minimum 2 years of experience in a similar position.
Ability to analyze safety data and prepare clear reports for stakeholders.
Experience with ticketing systems (Service Now is a plus).
Commitment to developing comprehensive employee well-being programs.
Proficiency in MS Office (especially Word, Excel, and PowerPoint).
Excellent communication skills for training and engaging employees.
Relevant certifications and diplomas in the field.
