Executive Assistant

As Executive Assistant, you will provide advanced executive support to the Managing Director (MD) and a select group of 3–4 senior leaders. This position goes beyond traditional administrative support: you will act as a trusted partner who increases executive leverage by shaping content, synthesizing information, and driving clarity and follow‑through across priorities.
You will pair exceptional administrative expertise (calendar, travel, meeting orchestration) with strong judgment, curiosity, and the ability to independently frame issues and deliver executive-ready materials. Handling sensitive business, financial, and personnel information with utmost confidentiality and care. This role requires flexibility, strong presence, and adaptability in a dynamic environment.
Way of working: Hybrid with two in‑office days (Tuesdays and Thursdays) in Cambridge, Ontario; occasional overtime may be required during peak periods.
What you will do
Executive Leverage & Decision Support
- Act as a thought partner to the MD, anticipating needs and triaging priorities.
- Research and synthesize information to support decisions and strategic initiatives.
- Create concise, decision-ready outputs (e.g., briefing notes, summaries).
- Maintain a centralized record of priorities, decisions, and follow-ups.
Content & Communication Ownership
- Draft and refine executive-level content (presentations, emails, briefings).
- Produce leadership summaries focused on implications, risks, and opportunities.
- Collaborate with internal teams to ensure accurate and timely materials.
Meeting & Governance Excellence (AI-Enabled)
- Shape agendas and pre-reads to ensure purposeful, decision-oriented meetings.
- Use AI tools (e.g., Copilot and Microsoft 365) to draft summaries and action logs, ensuring accuracy and relevance.
- Track actions and deadlines, escalating risks as needed.
- Capture and communicate meeting outcomes and next steps clearly.
Administrative & Operational Support
- Manage complex calendars and optimize executive time.
- Coordinate travel, expenses, and logistics seamlessly.
- Triage executive correspondence and ensure timely follow-ups.
- Organize executive meetings and maintain secure records.
Stakeholder Management & Representation
- Act as a liaison between executives and stakeholders, ensuring professional communication.
- Represent the MD as needed, surfacing insights and escalating issues.
- Build trusted relationships across the organization.
Special Projects & Business Rhythm
- Support special projects by structuring tasks, gathering inputs, and preparing updates.
- Manage the business rhythm, including priorities, deadlines, and leadership forums.
- Plan and execute corporate events with attention to detail and outcomes.
Data, Security & Confidentiality
- Handle sensitive information with confidentiality and sound judgment.
- Ensure compliance with data governance, security, and ethical AI use.
What you will bring
Experience & Education
- Bachelors Degree required; 3+ years supporting senior executives (MD/VP/C-suite).
- Experience in fast-paced, high-volume leadership environments; global/matrixed exposure is a plus.
- Background in special projects or cross-functional work is preferred.

Technical & Digital Fluency
- Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, Sharepoint).
- Comfort using AI tools (e.g., Copilot) to enhance drafting and analysis.
- Strong habits in information management and secure data handling.
What we offer
Annualized base pay range is $53,370 - $78,210 CAD.
Actual base pay may vary based upon factors such as relevant experience, qualifications, internal equity of peers, and geographic location. Employees may also qualify for performance-based bonuses, merit increases, and other incentives based on individual and company performance. The availability and amount of these additional compensation elements are determined by company policy and may vary.
