JOB Overview:

The local Facilities Officer is responsible for handling the Facilities activities locally and makes sure that all local requirements with regards to facility management are met, including quality and performance controls and employee satisfaction. This is an onsite role. Occasional availability required during emergencies or urgent facility issues. Physical presence required to manage daily operations and team.


What you do:

Coordinates Facility Management services.
1. Manages service providers used for the building and facility related services. Ensure vendor services are conducted on time and as per contracted frequency. Monitor vendor performance and escalate service issues when required. Maintain service schedules, records, reports, and invoices
▪ Quality & Performance Control. Ensure execution of preventive and corrective maintenance activities
▪ Ensure offices are maintained in a safe, functional, clean, and professional condition. Manage office furniture maintenance, repairs, and replacements. Ensure meeting rooms, common areas, and workspaces are operational and presentable.
▪ Required to coordinate and manage facilities support teams regionally, as needed.
▪ Support with Coordination for UAE facilities related Projects as and when required
Access and security management
• Security (whether outsourced or managed internally)
• Building evacuation, safety trainings, OHSE training
Manages local facility maintenance & services
• Day-to-day Facility Management activities locally including premises maintenance, reception desk, cleaning, security, safety, assignment of rooms, internal moves etc. (whether outsourced or managed internally)
• Tracking and management of energy, water. Coordinate timely submission and documentation with finance or administration teams. Support utility consumption monitoring and cost optimization where possible.
• Ensure effective management of stationery and pantry supplies by monitoring usage, controlling costs, and preventing shortages or overstocking.
• Ensure meeting rooms, common areas, and workspaces are operational and presentable.
• Act as the onsite contact for facility emergencies and coordinate immediate response and vendor support.
• Coordinate event setup and dismantling, prepare meeting rooms. Mange the hospitality team for visitor tea and coffee services.
• Support office Environmental initiatives and promote responsible waste reduction and recycling
• Handle minor facilities-related procurement activities in line with approved processes and authorization limits

What you Bring:

  • A technical or administration degree, or bachelor level
  • Minimum 2 years of working experience in facility management related activities , where has worked independently in this role and is aware how to manage a facility
  • Proactive, structured, and independent working method
  • Team management and strong communication skills
  • Vendor and team supervision experience
  • High service and quality orientation
  • Enterprising and solution-oriented way of thinking
  • Ability to handle emergencies calmly and efficiently
  • Pragmatic
  • English
  • Good knowledge of IT tools (Excel, Ppt..)
  • Reliable and discrete
  • Shift timings and need to work on weekends when there is a need
  • Strong communications skills and English command.
  • Prior experience in a facilities-related role is important.
  • Flexible with shift patterns ( 8AMto5PM and 11AM to 8PM) and on weekends and when there are facility related emergencies
