Job Role

 

We are looking for a highly organized and multitasking Facilities & Logistics Officer to manage daily employee transport operations while overseeing facilities, assets, and office logistics. The role includes coordinating and optimizing transport schedules, handling ad‑hoc transport requests, managing office consumables and equipment, access control, maintenance, and space management. The successful candidate will ensure smooth day‑to‑day operations, timely issue resolution, cost optimization, and compliance with safety standards, while coordinating effectively with employees, vendors, and contractors. Strong organizational, problem‑solving, and coordination skills, along with proficiency in MS Office tools, are essential for success in this role.

 

Responsibilities:

 

  • Gather, compile, and share daily inbound and outbound transport plans with service providers.
  • Optimize transport efficiency while reducing costs.
  • Manage daily ad hoc transport requests promptly.
  • Manage transport requests for visitors and VIPs.
  • Manage and improve employee transport complaint platform.
  • Attend to all transport-related complaints and ensure timely resolution.
  • Deliver training on transport applications to employees.
  • Conduct awareness sessions and floor walks on transport rules and best practices.
  • Implement strategies to improve overall transport efficiency.
  • Assist & support the Facilities department
  • Manage office stock for consumables, non-IT equipment, mobiles phones, sim cards, dongles and stationeries while keeping updated accurate records
  • Manage equipment reception and ensure timely distribution to relevant departments as well as coordinate equipment pickups and deliveries, including outdoor logistics.
  • Manage, authorize, and keep updated accurate records of key issuance
  • Develop and implement cost efficiency strategies for inventory management to minimize waste and reduce procurement costs
  • Identify and address facility issues and ensure timely resolution while keeping updated accurate records
  • Coordinate, schedule, and oversee on-site servicing, maintenance, and repairs of office equipment & infrastructure, including company vehicles while keeping updated accurate records
  • Ensure all building systems (HVAC, lighting, plumbing, etc.) are functioning properly
  • Identify and implement cost-saving measures in maintenance and facility management to enhance operational efficiency while maintaining high service standards.
  • Optimize security-related expenses by ensuring minimizing key & access cards replacements.
  • Efficiently manage the employee facilities complaints platform, attending to complaint tickets and ensuring timely resolution
  • Manage meeting room booking systems and ensure availability.
  • Support event organizers by handling facilities-related requirements during events.
  • Develop and implement service optimization strategies to enhance employee and client experience while controlling costs.
  • Plan and oversee office space allocation, including coordinating office moves and reconfigurations.
  • Implement cost-efficient space utilization strategies to maximize office functionality and reduce unnecessary expenditures 
  • Be on-call after office hours and on weekends for urgent transport matters.
  • Book flight tickets and hotels reservation for employees on business trips, ensuring cost effectiveness while maintain employee well being
  • Work few hours during alternate weekends & Mauritian public holidays as required.  

 

Requirement & Skills

 

  • Proven work experience of at least 2 years as a Transport Officer or similar role
  • Experience in transport coordination and planning.
  • Proficiency in MS Office tools (Excel, Word, PowerPoint, and Outlook) for planning and reporting.
  • Strong problem-solving and decision-making skills.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and handle emergency transport requests.
  • Strong organizational and time-management abilities.
  • Ability to work on alternate weekends & Mauritian public holidays
  • Ability to respond to after office hours transport calls
  • HSC holder; additional certification in Office
  • Proven work experience of at least 2 years as a Facility & Assets Officer or similar role
  • Strong organizational and inventory management skills
  • Excellent problem-solving abilities and attention to detail
  • Knowledge of facilities maintenance, vendor coordination, and safety regulations
  • Ability to handle multiple tasks and prioritize urgent issues
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Office (Excel, Word)
  • Ability to develop and implement cost-efficiency strategies across facilities operations.
