Role Summary: 

The Procurement Operation Officer is responsible for implementing and maintaining Allianz Standards for Protection & Resilience (P&R) across the region. This role involves consulting, advising, and supporting stakeholders on P&R domains in India. The officer will contribute to central reporting, manage projects to enhance preparedness, response, resilience, and security, support the global P&R team, and raise awareness of P&R across the organization.

Key Responsibilities:

  1. Strategy Governance

    • Prepare and share BCM, resilience, and environmental reports with leadership to ensure alignment with governance and strategic objectives.
    • Track and communicate key performance indicators, maturity levels, and improvement actions related to BCM and environmental sustainability.
  2. Business Continuity Management (BCM)

    • Coordinate with IT and business teams to ensure Disaster Recovery (DR) plans are current, tested, and aligned with business priorities.
    • Develop and maintain Business Continuity Plans (BCPs) for key departments, defining scope, RTOs/RPOs, recovery procedures, and escalation matrices.
    • Conduct BCP testing (tabletop and simulation exercises) to assess preparedness and identify improvement opportunities.
    • Create and facilitate realistic disruption scenarios to test recovery strategies and validate response readiness.
  3. Crisis Management (CM)

    • Develop and execute end-to-end crisis simulations, ensuring integration of communication, response, and recovery processes.
    • Conduct crisis drills that incorporate physical and information security elements to ensure holistic preparedness.
    • Perform gap analysis and maturity assessments to enhance crisis management capabilities and readiness.
  4. Protective Security Management

    • Collaborate with risk and security teams to monitor threat intelligence and integrate emerging risks into BCM planning.
    • Support executive protection and travel risk management, especially for leadership and staff traveling to high-risk areas.
    • Align BCM initiatives with the Enterprise Risk Management (ERM) framework to identify and mitigate critical risks.
  5. IT Service Continuity Management (ITSCM)

    • Partner with IT to monitor, report, and mitigate threats to IT service continuity for business-critical applications.
    • Ensure IT recovery capabilities are aligned with defined business recovery objectives and RTOs/RPOs.
  6. Incident Management

    • Support integration of ERM principles into incident response, ensuring structured mitigation, response, and recovery protocols.
    • Record and analyze incidents, response timelines, and lessons learned for reporting and continual improvement.
    • Lead Business Impact Analysis (BIA) efforts to identify critical dependencies, prioritize recovery actions, and update continuity plans.
  7. Emergency Response

    • Develop and maintain site-level emergency response plans and handbooks to guide teams during onsite crises.
    • Ensure BIA data is incorporated into emergency response documentation to support timely decision-making and recovery prioritization.
  8. Outsourcing & Third-Party Resilience

    • Ensure vendor compliance with group BCM and resilience standards through regular assessments and toolkit reviews.
    • Review vendor contracts to validate inclusion of BCP and continuity clauses.
    • Maintain compliance with DORA and group third-party resilience requirements, including ICT incident documentation.
    • Partner with procurement to assess third-party BCP maturity and ensure continuity measures are embedded in supplier management.
  9. Environmental Management (as Local Environment Officer)

    • Act as the Local Environment Officer for India, ensuring compliance with group environmental standards and local regulations.
    • Coordinate environmental data collection, sustainability reporting, and implementation of environmental initiatives at India sites.
    • Monitor and support waste management, energy efficiency, and carbon footprint reduction activities in coordination with the Global Sustainability Team.
    • Conduct awareness sessions to promote environmental responsibility and sustainable practices across sites.
    • Identify environmental risks and contribute to mitigation planning in alignment with corporate sustainability objectives.

Overall Contribution:

  • Coordinate all P&R tasks within India within the framework.
  • Strengthen organizational resilience by integrating BCM, crisis, and environmental management practices under a unified governance framework.
  • Enhance operational readiness and sustainability performance through proactive risk mitigation, compliance monitoring, and awareness initiatives.
  • Ensure alignment of India’s BCM and environmental programs with global standards and local regulatory expectations.

Skills & Requirements:

Education & Experience:

  • University degree in a relevant discipline, ideally disaster/emergency management, risk management, international security, business administration, political science, economics, or a related field.
  • 3+ years of experience in procurement operations, preferably within a multinational or large-scale organization.
  • Experience in the development and integration of security procedures and systems within complex spaces.

Technical Skills:

  • Strong understanding of procurement policies, regulations, and governance frameworks.

Core Competencies:

  • Ability to analyze procurement-related issues, identify problems, and develop effective solutions.
  • Strong attention to detail with the capability to assess information critically.
  • Excellent communication and collaboration skills to engage with AP teams, suppliers, and internal stakeholders.
  • Ability to influence and build effective relationships at all levels of the business.
  • Quick problem-solving skills to ensure efficient resolution of procurement-related user issues.
  • Ability to work in a very busy environment and remain calm under pressure.

Languages:

  • Fluency in English and the local language is mandatory.
