We are looking for a HR & Office Support professional (m/f/d) who is passionate about gaining in-depth understanding of the business to deliver a best-in-class candidate experience to our hiring managers.

What you will do:

Payroll Preparation & HR Administration:
•    Prepare, validate and maintain accurate and timely HR data required for payroll processing, ensuring data integrity and consistency;
•    Support monthly payroll cycles by collecting, checking and consolidating payroll-relevant information (e.g. absences, working time data, contractual changes, allowances and other variables);
•    Act as back-up in payroll-related activities, ensuring continuity and adherence to deadlines;
•    Serve as the main point of contact for HR administrative and payroll-related queries from employees, providing clear and reliable information;
•    Manage and maintain employee records throughout the employment life cycle, from onboarding to changes during employment;
•    Ensure compliance with internal HR policies, procedures and local regulations, proactively identifying discrepancies and proposing corrective actions;

HR Systems & Data Management:
•    Maintain and update HR systems with a strong focus on SuccessFactors and Factorial, ensuring high data quality and audit readiness;
•    Prepare HR reports, trackers and data extracts to support payroll preparation and internal controls;
•    Contribute to the continuous improvement of HR administrative and payroll-related processes, with a strong attention to detail and data accuracy;
•    Work closely with internal stakeholders to ensure smooth HR operations and reliable data flows;

Recruitment & Onboarding Support:
•    Support recruitment administration, including screening interviews, interview scheduling and structured feedback;
•    Prepare offers and manage administrative steps of the hiring process;
•    Coordinate and manage the HR onboarding process after offer signature, ensuring all employee data is correctly set up in the systems;
•    Ensure recruitment and onboarding processes are compliant with internal rules and policies;
•    Contribute to a positive candidate and new joiner experience;

Office & General Administration:
•    Support safety, hygiene and workplace wellbeing measures;
•    Assist in general office and facility-related tasks as required.

What you bring:
•    Minimum 2 years of experience in Human Resources, with strong exposure to HR Administration and payroll data preparation;
•    Hands-on experience in preparing and validating HR data for payroll purposes is highly valued;
•    Solid experience working with HR systems, preferably SuccessFactors and/or Factorial;
•    Strong attention to detail, accuracy and confidentiality;
•    Recruitment experience is an advantage, but not the primary focus of the role;
•    Experience in an international or shared services environment is a plus;
•    University degree in a relevant field or equivalent professional experience;
•    Strong customer-oriented mindset with the ability to prioritize effectively;
•    Fluency in English (written and spoken) is mandatory;
•    Very good MS Office skills; experience with SF Recruiting or other ATS is a plus;
•    Experience in Facilities or Office Administration is an advantage, but not essential.
