We are looking for a Personal Assistant (m/f/d), based in Munich.

 

Your Team 

The GPS (Global Performance Steering) team within Allianz Commercial is responsible for driving strategic pricing, portfolio steering, and profitability analysis across the organization. 

 

The Impact You Will Have

You will provide an efficient and responsive administrative, organisational, and logistical service to the Global Head of GPS. You will ensure that the manager can focus on strategic matters by processing delegable tasks. You will also participate in important projects where involvement of the manager's office is necessary.

 

Some of your specific responsibilities could include:

  • Manage a busy schedule, calendar commitments, and international travel arrangements, including flights, hotels, visas, and personal bookings, often involving interaction with senior managers and handling urgent tasks.
  • Filter emails, prioritize urgent correspondence, print attachments, and maintain the manager’s confidential schedule and email account.
  • Represent the manager’s office by addressing urgent queries, phone calls, and calendar invitations, redirecting or managing as appropriate.
  • Arrange meetings, liaise with relevant individuals or organizations, prepare agendas, and draft minutes.
  • Support or coordinate ad-hoc projects and initiatives, such as workshop preparations, budgeting topics, and Allianz Engagement Survey (AES) action items.
  • Handle confidential content across emails, attachments, and calendars with discretion and professionalism.
  • Perform additional duties as requested by the manager.

 

What You’ll Bring to the Role

  • Proficient in general office applications (PowerPoint, Excel, Word) with strong IT skills.
  • Extensive administrative management experience, including 3-5 years in high-pressure environments requiring tact, judgment, and discretion.
  • Skilled in diary management, travel research, and booking accommodations (3-5 years of experience).
  • Strong communication skills, effectively expressing ideas in both speech and writing.
  • Adept in presentation skills, visually conveying ideas using various tools.
  • Strong analytical skills to absorb, analyze, and draw conclusions from diverse information sources.
  • Effective prioritization abilities, capable of filtering information, assessing priorities, and working independently.
  • Fluent in German and English.
  • A willingness to learn and explore how AI can enhance your role and the broader organization is expected.
