Key responsibilities/What you do
We are seeking a highly organized, proactive, and discreet Personal Assistant to support a Board Member within our Travel Line of Business. This role requires exceptional coordination skills, strong business acumen, and the ability to operate in a fast-paced, international environment. The successful candidate will act as a trusted partner, ensuring seamless day-to-day operations and enabling the Board Member to focus on strategic priorities.
In this role, you will:
- Manage complex calendars, scheduling meetings across multiple time zones
- Coordinate international travel arrangements, including itineraries, accommodations, and logistics
- Prepare high-quality presentations, reports, and briefing materials for internal and external meetings leveraging AI tools to enhance efficiency and quality
- Act as a gatekeeper, prioritizing communications and managing stakeholder interactions
- Organize and support board meetings, executive committees, and key business reviews
- Handle confidential information with the highest level of discretion
- Track key action items and ensure timely follow-ups
- Support ad hoc projects and strategic initiatives within the Travel LOB
- Liaise with internal teams and external partners across global markets
Key requirements/What you bring
- Proven experience as an Executive Assistant or Personal Assistant at senior leadership level (Board/C-level preferred)
- Strong organizational and multitasking abilities Excellent written and verbal communication skills in English (additional languages are a plus)
- High level of professionalism, discretion, and integrity
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and openness to using AI-powered productivity tools
- Experience in Allianz Partners / Allianz or in the travel industry or international business environment is a strong advantage
- Proactivity and problem-solving mindset
- Ability to anticipate needs and prioritize effectively
- Strong interpersonal and stakeholder management skills
- Attention to detail and commitment to excellence
- Flexibility and resilience in a dynamic environment
