Job Purpose / Role

The Personal/Office Assistant provides direct support to team members by managing schedules, communications, travel logistics, and documentation.

The ideal candidate brings a proactive and organised approach, strong communication skills, proficiency in productivity tools including PowerPoint and AI-assisted workflows, and the confidentiality required to handle sensitive regulatory and compliance-related materials.

 

Key Responsibilities

  • Manage and coordinate calendars, appointments and meetings, ensuring optimal time management and scheduling efficiency
  • Organise and coordinate domestic and international travel arrangements, including flights, accommodation, transfers, and itineraries
  • Create and refine PowerPoint presentations, ensuring visual clarity, accuracy, and alignment with Allianz brand standards
  • Prepare, format, and archive documents, reports, and internal communications, including board and committee materials and regulatory submissions
  • Process expense reports and support invoice tracking and basic financial administration tasks
  • Coordinate meeting logistics, including room bookings, equipment setup, catering, and preparation of supporting materials
  • Liaise with internal departments (HR, Finance, Facilities, IT) and external partners to ensure smooth information flow and operational continuity
  • Manage and track correspondence and documentation, maintaining accurate records in line with internal and regulatory requirements
  • Maintain records and filing systems in line with regulatory and internal requirements
  • Support the organisation of internal events, team activities, and visitor reception
  • Handle confidential and highly sensitive regulatory information
  • Leverage AI tools (e.g., ChatGPT, Microsoft Copilot, or equivalent) to enhance productivity, streamline document preparation, draft communications, and support efficient workflows

 

Key Requirements / Skills / Experience

  • From 3 to 5 years of experience in Personal Assistant, or senior administrative support role, ideally within a corporate, legal, financial services, or regulated environment
  • Degree or diploma in business administration, languages, or a related field (preferred)
  • Fluent in Italian and English (written and spoken)
  • Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams), with particular emphasis on creating presentations
  • Ability to leverage AI tools (e.g., ChatGPT, Microsoft Copilot, or similar) to enhance productivity, draft communications, and support document preparation
  • Excellent organisational and time management skills with the ability to handle multiple priorities simultaneously
  • Strong attention to detail and accuracy in all tasks
  • Proactive, solutions-oriented mindset with strong interpersonal and communication skills

 

Pursuant to Article 5(1) of Legislative Decree No. 96 of 7 May 2026, as amended and supplemented from time to time, the range applicable to the position offered is between €35.000 gross and €40.000 gross.

Employment will be subject to the terms and conditions set forth in the National Collective Labor Agreement for Insurance Companies and the applicable Company Agreement.

The final determination of the starting remuneration will be based on an evaluation of the candidate’s qualifications, skills, and relevant experience in relation to the requirements of the role.
