MAIN RESPONSIBILITIES: 
 
Management of the MD's agenda and administrative and organisational support
  • Manage the MD's agenda and organize local events or international workshops—whether online, hybrid, or onsite—with meticulous attention to logistics and agenda planning.
  • Schedule and coordinate meetings with customers and prospects for the MD or the local executive committee efficiently.
  • Serve as the primary liaison between the CEO and internal/external stakeholders, fostering professional relationships and ensuring clear, effective communication.
  • Negotiate with local suppliers and expertly manage procurement through ARIBA for the local Board of Management.
  • Lead or coordinate cross-departmental initiatives, ensuring accountability and steady progress.
  • Act as a strategic partner to leadership by providing data analysis, insights, and actionable recommendations to support decision-making.

BOARD's PMO

  • Organize and prepare the agenda for local Board meetings by gathering input from all participants, assist in creating presentations, draft executive committee meeting minutes, define decisions and ownership, monitor deadlines, and engage internal stakeholders (recognized by local leadership).
  • Prioritize and manage transversal topics for the local Board of Management, following up on to-dos and action items.
  • Monitor and distribute communications as scheduled by the executive committee, ensuring timely and relevant content.
  • Independently drive projects assigned by the Board to successful completion.
  • Develop and manage a tailored induction plan for new hires involving board members, customized to each role.

Business Travel: BU local owner and focal point for second-level support for employees

  • Serve as the business owner for business travel in Italy (Amadeus Cytric).
  • Act as the local BU single point of contact (SPOC) for the Global Travel Coordinator and the travel agency.
  • Coordinate and deliver training on tool usage and updates for all implementations within the BU.
  • Oversee and coordinate training programs for all employees and new hires.
  • Monitor and update data in Cytric to maintain system efficiency and proactively identify potential risks.

Amadeus Cytric 2025: BU local owner

  • Lead the local launch and customization of the new Amadeus Cytric tool in 2023, adapting the global platform to local needs.
  • Manage the 2025 implementation project by defining tasks and collaborating with the new travel agency.
  • Coordinate business travel management to ensure compliance with Allianz Group guidelines.

Global Audit-Privacy & Compliance

  • Coordinate global audits with local stakeholders to verify documentation completeness and adherence to timelines, minimizing risks.

SKILLS & EXPERTISE

  • Demonstrate excellent communication skills, engaging effectively with stakeholders at all levels.
  • Exhibit strong goal orientation and advanced problem-solving abilities.
  • Possess superior organizational and negotiation skills.
  • Apply solid project management expertise across all phases: Initiating, Planning, Executing, Controlling, and Closing.
  • Proficient in English (written and spoken).
  • Skilled in MS Office 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and Planner.
