The Administrative Technician performs an expanded range of mailroom and file room duties for the Department of Administration. Including switchboard coverage and relief. 

 

 

Key Responsibilities and Duties 

 

Mail Room 

 

U.S. Mail – receiving and sending of US mail for Home Office and all other field and satellite offices. 

  1. Overnight Mail – sending, receiving, and tracking overnight mail; Federal Express, United Parcel Service, Airborne, DHL and other couriers. Will ensure o/n mail is sent in the most efficient and economical manner. 

  1. Equipment – help to maintain equipment and provide maintenance and care for all copiers, faxes, overhead projectors, postage & mailing machines. Will insure daily that all equipment is functioning properly and that all appropriate paper supplies and toners are available. Will insure an appropriate level of toners and other required equipment supplies. Will contact appropriate vendor for repairs as required. 

  1. Shipping & receiving – assist in the receiving of all supplies and equipment and distributing to the appropriate department or individual. Will insure a neat and clean storage area. 

  1. Market Material – assist in the receipt, distribution and inventory of marketing supplies as required. 

  1. Duplication – assist with duplication request as required.  

  1. Postage Replenishment – assist with maintaining appropriate dollar amount on the postage machine. 

  1. Newspapers – assist daily with am delivery of newspapers to the appropriate department.  

  1. Courier Service – assist with the coordination of courier service to insure daily bank runs and post office runs are on schedule. 

  1. Vending Service – assist with the re-supplying all vendor areas as required.  

  1. Lift & Carry for short distance boxes, mail sacks, file boxes and other items (25 to 50 pounds) 

  1. Minor Office Moves – moving tables, chairs, file cabinets and other office equipment, hanging pictures as required. 

  1. Insuring conference rooms are equipped with appropriate markers, easels, and overhead projectors on a daily basis. 

  1. File Room - Assist in File Room as required. 

  • Pull and distribute requested files and documentation for teams. 

  • Maintain current filings. 

  • Pull and box expired policies for storage. (25 to 30 pounds) 

  • Request and return documentation needed from storage. 

 

Additional Required Mail Room Duties – Finance & Claims 

 

  1. Process the following Finance/Claim Accounting Task in accordance with established guidelines and procedures. 

  • Daily Invoice mailings 

  • Daily Correspondence mailing 

  • Daily Claims Check mailings 

  • Monthly Client Statement mailings 

  • Monthly Premium Invoice mailings 

 

  1. Open US Claims mail for identification, sort by appropriate person and forward all checks to the finance Department.  

 

All other duties assigned. 

 

 

Required Qualifications and Skills  

 

  • High school diploma or equivalent required 

  • 0-2 years of experience in an administrative technician role or similar 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and experience with office equipment (printers, scanners, etc.). 

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines. 

  • Strong communication and interpersonal skills, with the ability to develop and maintain positive working relationships. 

  • Ability to maintain confidentiality and handle sensitive information with discretion. 

  • Transportation Required (Shift Work may be needed) 

 Compensation:  $17 per hour
