Your Challenge

You will be based in our Milan office, joining the Assistants Team, where you will mainly be responsible for the following activities:

  • Operational tasks related to agenda management, meeting planning, and travel organisation (flights, hotels according to company policy).
  • Collecting the required documentation and supporting the drafting of letters or communications.
  • Monitoring deadlines, assisting in the preparation of reports, presentations and all necessary documentation.
  • Supporting the organisation of internal audits, visits, and appointments.
  • Planning and organising events: site inspections, quotations, set-ups.
  • Budget management: monitoring and authorising invoices according to approval levels.
  • Managing contacts with internal and external functions and interacting with key stakeholders.
  • Ensuring accuracy and meeting deadlines.
  • Implementing procedures.
  • Budget control.
  • Local and international organisation of commitments.
  • Coordination with other Assistants (including replacements and holiday management).

You Are the Ideal Candidate If…

  • You have more than 3 years of experience as an assistant or in organisational secretariat roles.
  • You demonstrate maximum discretion and confidentiality.
  • You are highly flexible.
  • You have excellent English skills (C1 level).
  • You have strong proficiency in the Microsoft Office suite.
  • You have a strong team-oriented mindset and collaborative approach.
  • You show proactivity and strong organisational skills.
  • You have great attention to detail.
  • You demonstrate problem-solving abilities and excellent communication skills.
  • You have strong networking skills and can interact effectively with different stakeholders.
  • You hold a Master's Degree.
  • You can work well under pressure.
  • You have knowledge of accounting and finance principles.
  • You have project management skills.
