Job Purpose:
The Senior Analyst – Facilities & Logistics Officer is responsible for overseeing day-to-day operations related to office facilities, workplace safety, and logistics. The role ensures smooth functioning of administrative services, manages vendor coordination, and supports space planning, procurement, and general infrastructure needs. This position plays a key role in driving operational efficiency and employee comfort within the workplace.
Key Responsibilities:
Inventory & Asset Management:
- Manage and distribute stock for office consumables, non-IT equipment, and stationery.
- Maintain and update the storeroom registry with accurate records of inventory levels.
- Keep an accurate distribution registry to track issued consumables, equipment, and assets.
- Control and monitor mobile phones, SIM cards, and dongles stock; maintain an updated registry.
- Manage equipment reception and ensure timely distribution to relevant departments.
- Manage and authorize key issuance, including office and locker keys, ensuring security and accountability.
- Develop and implement cost efficiency strategies for inventory management to minimize waste and reduce procurement costs.
Facilities & Maintenance Management
- Conduct daily in-depth floor walk checks to identify and address facility issues inside and outside the AZ Tower.
- Plan and oversee servicing, maintenance, and repairs of office infrastructure, including company vehicles.
- Coordinate and schedule preventive maintenance for office equipment and infrastructure
- Maintain an updated log of all maintenance and intervention activities.
- Supervise on-site contractor interventions and ensure compliance with safety regulations and building codes.
- Ensure all building systems (HVAC, lighting, plumbing, etc.) are functioning properly.
- Identify and implement cost-saving measures in maintenance and facility management to enhance operational efficiency while maintaining high service standards.
Access Control & Security Management
- Create and modify employee access cards in a timely manner.
- Authorize and track all external contractor interventions on-site.
- Ensure secure key management for office access and lockers.
- Monitor access control systems to enhance security and efficiency
- Optimize security-related expenses by ensuring efficient access control policies and minimizing key replacements.
Employee & Client Facilities Support:
- Efficiently manage the employee facilities complaints platform, attending to complaint tickets and ensuring timely resolution
- Manage meeting room booking systems and ensure availability.
- Support event organizers by handling facilities-related requirements during events.
- Address facilities-specific toics for clients and visitors to enhance their experience
- Develop and implement service optimization strategies to enhance employee and client experience while controlling costs.
Logistics & Space Management:
- Coordinate equipment pickups and deliveries, including outdoor logistics.
- Plan and oversee office space allocation, including coordinating office moves and reconfigurations.
- Ensure optimal use of office space for efficiency and safety
- Implement cost-efficient space utilization strategies to maximize office functionality and reduce unnecessary expenditures.
Qualifications & Skills
Proven work experience of at least 2 years as a Facility & Assets Officer or similar role- Strong organizational and inventory management skills.
- Excellent problem-solving abilities and attention to detail
- Knowledge of facilities maintenance, vendor coordination, and safety regulations.
- Ability to handle multiple tasks and prioritize urgent issues
- Good communication and interpersonal skills.- Proficiency in Microsoft Office (Excel, Word) and facilities management software.
- Ability to develop and implement cost-efficiency strategies across facilities operations.
