About the Job
Provide general support for the Service Portfolio Management team, with the main focus being the update of the Service Description process – the creation of new Service Description documents by using already existing data from previous versions.
What you do
- Review source documents to understand their structure and formatting, and identify specific information to be transferred.
- Copy and paste text from source documents to target templates, ensuring consistent formatting.
- Reorganize and structure content using headings, bullet points, and numbering to meet specific guidelines and ensure clarity.
- Apply pre-defined templates and styles in Microsoft Word to standardize document appearance.
- Proofread transferred content for errors, inconsistencies, or missing information, and cross-check against source documents for accuracy.
- Coordinate with team members to clarify requirements, provide progress updates, and incorporate feedback to refine documents.
- Save and organize files in designated folders (e.g., OneDrive or SharePoint), maintaining version control for easy access to the latest document versions.
What you bring
- Currently pursuing a degree in Business Administration, IT, or a related field with prior experience using Office 365 tools in academic or professional settings.
- Strong familiarity with Microsoft Word, Excel, PowerPoint, and Outlook, including advanced Word features like formatting, tables, styles, and templates.
- Knowledge of formatting text, tables, and images in Word, ensuring consistency using styles and templates, and managing files effectively in OneDrive or SharePoint with version control.
- Ability to identify and correct errors during data transfer, ensuring accuracy and consistency in text, tables, and images.
- Strong organizational skills to meet deadlines, with the ability to troubleshoot formatting or layout issues efficiently.
- Clear communication to understand instructions, clarify requirements, and incorporate feedback, with a willingness to learn new tools or features as needed.
- Basic knowledge of AI technologies, principles and their practical use
You can start immediately and are interested in a full-time internship (38 h/week) for a period of idally 6 months or longer.
