The manager of Real Estate and Facility Management is responsible for the management of Real estate and Facilities locally and implements all standards and global guidelines locally in line with local regulation and makes sure that all local requirements with regards to facility management and occupational safety are met. In addition, the role encompasses local steering of the other central function activities: Procurement, Protection & Resilience, and PIM (when relevant).

 

What you do:

Implements global standards and guidelines: Implement and assure good adherence to the strategy and standards for:

Corporate real estate and facility management (CRE& FM), Occupational Health and Safety locally:

  • Responsible for the local spend for Real Estate and Facility activities and ensures efficient use of resources.
  • Management of the local facility management teams, and steering of external service providers used for the building and facility related services
  • strategy, provision of facilities, facility occupation and operation, disposal of facilities and associated services which are supplied by third parties. This includes the setup (incl. definition of rules and standards), maintenance and controlling of processes at the interface to the service providers and the identification of services to be outsourced. 
  • Rental contract management 
  • Space allocation, stacking and adaptation of workspace in line with business needs
  • Safety in line with local regulatory obligations 
  • Day-to-day Facility Management activities locally including premises maintenance, reception desk, cleaning, security, safety, assignment of rooms, internal moves etc. (whether outsourced or managed internally) 
  • Workspace management (furniture, stacking, space attribution, booking tools….) 
  • Efficient building management system and tracking and management of energy, water, waste consumption, including environmental reportings
  • Transaction Management & tenders, market research 
  • Contract Examination: Examining lease contracts, service contracts, and framework agreements to ensure compliance and value. 

Protection & resilience

  • BCM: Implementing and maintaining a robust program ensuring all deliverables in place are met including planning, BIAs, Risk impact, recovery, testing 
  • Crisis Management: scenario planning, testing and response management 
  • Incident Management: Ensuring Emergency Response Management framework in place to manage any emergency threats to the busines s 
  • Physical Security Management: Physical + Personnel security plus badge, access control management, Security (whether outsourced or managed internally) Building evacuation, Safety trainings, Event security, Security monitoring, Travel security, Fraud management etc 

Procurement

Strategic Sourcing & Negotiation:

  • Develop and execute sourcing strategies to meet company objectives, focusing on cost reduction, quality improvement, and risk mitigation.
  • Manage RFP and negotiations to secure pricing, delivery, quality, SLAs and compliance to AP standard and policies.
  • Conduct market research to identify market trends, benchmark providers, evaluate supplier capabilities and monitor regulatory changes Global Category management
  • Share to Global Procurement relevant demand (>250k € gross), provision of spend data and cost savings
  • Align with Allianz Partners Global Procurement on applicable Local Sourcing Categories and implementation of Global Category Concept. Supplier Relationship Management:
  • Determine, steer and control the performance of the suppliers in terms of quality and stability of deliveries.
  • Analyze and map existing network capabilities and innovation opportunities

Contract Management:

  • Develop, review, and manage contracts with suppliers to ensure compliance with company policies and standards.
  • Store all contracts above 250 KEUR, MSA and risk relevant contract according to TPRM standard in ARIBA S2C

Demand Management:

  • Collaborate with internal stakeholders to forecast demand, manage provider panel, and optimize supply chain efficiency.

Risk Management:

  • Support colleagues how to conduct Supplier due diligence especially reputational check and set up adequate Process control
  • Ensure that all risk assessment have been performed according to TPRM standard before starting negotiation

Reporting & Analytics: 

  • Regularly inform Allianz Partners Regional and Global Procurement about development of Procurement Key Performance Indicators, adherence to global category concepts, saving and development of local Procurement function.

 

What you bring

  • A degree in business administration or technical studies with a focus on real estate or procurement , or a tangible experience in real estate transaction management and facility management, or procurement activities 
  • Professional experience > 3 years in the commercial real estate sector, office management, or procurement functions 
  • Knowledge of commercial lease and procurement of services 
  • Experience in, understanding of facility management 
  • Strong communication skills and a convincing manner in dealing with decision-makers 
  • Proactive, structured, and independent working method 
  • Team and communication skills, as well as a high service orientation 
  • Enterprising and solution-oriented way of thinking 
  • Appreciate international business relations and working with multinational project teams 
  • Strong analytical skills 
  • High knowledge of MS Office (especially Excel, PowerPoint) 
  • Fluent in English, both spoken and written, other languages an advantage.
