Operations Oversight Specialist (f,m,d)

Job Purpose/Role
We are looking for you! To support the growth of our Private Markets product range, we are seeking to recruit an Operations Oversight Specialist in the field of Alternative Investments in Luxemburg. In this role you will be the main contact for all processes within our investment vehicles. This includes overseeing external third parties; including Company Secretarial Oversight, Transfer Agency Oversight and Relationship Management – with key internal stakeholders and external service providers. You will report to our Head of Private Markets - Lifecycle Management team and will join an experienced team of experts in an international environment.
What you will do
- Monitor and assess the performance of the CoSec provider against SLAs and KPIs
- Ensure timely and accurate delivery of board and committee support, statutory filings, and corporate governance documentation
- Review and challenge CoSec reports and escalate issues as needed
- Coordinate with internal stakeholders to ensure alignment with governance frameworks and regulatory obligations
- Oversee the TA’s operational performance, including investor onboarding, transfer, contribution in kind and reporting
- Conduct regular service reviews and due diligence assessments
- Ensure compliance with AML/KYC and other regulatory requirements
- Investigate and resolve escalated investor issues or operational incidents
- Act as the primary liaison between the firm and the CoSec/TA providers
- Facilitate regular governance meetings and performance reviews
- Drive continuous improvement initiatives and service enhancements
- Be responsible for operational day-to-day activities incl. ad hoc query management
- Run and maintain processes, procedures and related operating memorandum / service level agreements
- Supervise the service provider (Fund Accounting / Depositary / Custody) performance with a strong focus on critical metrics and improvement of operational stability
- Collaborate with investment manager teams, other members of the Private Markets Operations department and other internal/external stakeholders (e.g. Tax, Legal)
- Ensure active partnership between the service providers and the internal teams (e.g. management of critical issues)
- Improve and harmonize the Private Markets investment operating model for fund accounting and custody/depositary on a global scale
Technical Skills
- Good knowledge of Luxembourg Alternatives Funds and investment strategies like Infrastructure Equity/Debt, PE, RE, FoF, Renewables
- Solid knowledge and understanding of the illiquid private markets industry and related operational topics and challenges and within areas such as transactions
- A sound understanding of the investment lifecycle for Private Markets, specifically for Luxembourg fund structures
- Technical skills in terms of programming / automating are of significant value as we look to optimize and automate our processes
- Security and Compliance: Uphold the organization’s security policies by being vigilant about information security threats and taking responsibility for reducing risks related to theft, fraud, and misuse of facilities
- Experience in applying generative AI tools like Copilot to automate processes and improve operational efficiency
Personal Profile
- University degree in business administration, finance, or equivalent
- Ideally 5+ years of working experience in the asset management industry (i.e. ManCo, AIFM, Service provider, Big 4 Accounting firm) with particular emphasis on Luxembourg fund administration, financial/regulatory reporting and custody/depositary (oversight)
- Strong interpersonal skills and the dedication to build positive relationships, internally and externally
- Strong ambition to automate and optimize processes
- Excellent organizational skills and strong analytical skills with a high level of accuracy and keen attention to detail
- High motivation to independently develop creative and targeted solutions
- High commitment, motivation and willingness to take on responsibility
- Fluency in both written and spoken English, knowledge of German would be an asset
