Role Purpose

The Executive Assistant provides high-quality and proactive executive support to the Regional Chief Investment Officer Asia, enabling the CIO to operate effectively across a complex regional and global stakeholder landscape. The role acts as a trusted coordination point for priorities, meetings, communications, governance routines and follow-ups, ensuring that the CIO’s time, information flow and engagements are managed with discipline, strong judgment and a solution-oriented mindset. The role works closely with the Regional CIO, the AIM SG team, AIM SE colleagues, local operating entities, regional Allianz stakeholders, external partners and senior visitors, helping ensure smooth execution of regional priorities and professional representation of the CIO office.

 

Key Responsibilities

  • Provide proactive and high-quality executive support to the Regional Chief Investment Officer Asia, anticipating needs and ensuring effective management of time, priorities and information flow.
  • Manage the CIO’s calendar, travel, meetings and correspondence with strong prioritisation, judgment and responsiveness, balancing regional, global and local stakeholder demands.
  • Coordinate regional governance routines, leadership meetings, investment forums, offsites and stakeholder engagements, including agenda preparation, logistics, documentation, minutes and follow-up actions.
  • Act as the first point of coordination for the CIO office, ensuring requests are triaged appropriately, deadlines are tracked, and information is routed to the right colleagues in a timely and professional manner.
  • Prepare, format and quality-check presentations, briefing packs, meeting materials and communications for senior internal and external audiences, ensuring accuracy, consistency and executive readiness.
  • Leverage emerging digital and AI tools, including Microsoft Copilot, ChatGPT and Claude, to redesign routine workflows, accelerate drafting and research preparation, improve meeting intelligence, strengthen task tracking and raise the overall quality and speed of CIO office execution, in line with applicable company policies.
  • Support the CIO in tracking key regional priorities, deliverables and action items across AIM SG, AIM SE, local CIOs and operating entities, helping drive timely closure and escalation where needed.
  • Coordinate onboarding, visits, team events, regional workshops and administrative processes, contributing to an efficient, collaborative and well-organised working environment.

 

Key Requirements

  • Relevant diploma, degree or professional qualification in business administration, office management, communications or a related discipline.
  • Up to 5 years of experience supporting senior executives in a complex, international and matrix organisation and experience in financial services, insurance or asset management are a plus.
  • Excellent organisational, prioritisation and follow-through skills, with the ability to manage multiple deadlines, stakeholders and time zones with limited supervision.
  • Strong written and verbal communication skills, including the ability to prepare clear emails, meeting notes, presentations and executive-ready documents.
  • Sound judgment, integrity and professionalism when managing senior stakeholder interactions, business priorities and sensitive matters.
  • Strong attention to detail and quality orientation, with the ability to anticipate issues, solve practical problems and ensure professional standards in all deliverables.
  • Collaborative mindset and service orientation, with confidence working with senior leaders, assistants, global teams and external partners across different cultures.
  • Digitally fluent and future-oriented, with advanced proficiency in Microsoft Office, collaboration platforms and AI productivity tools such as Microsoft Copilot, ChatGPT and Claude; able to identify automation opportunities, apply prompt-based working methods, streamline recurring administrative processes and continuously adopt new technologies to improve executive support, knowledge management and decision-preparation efficiency.
  • Fluency in English is required; additional Asian languages would be an advantage.
