BAU Lead Fund Operations

Join us now as BAU Lead Fund Operations in Japan within the Investment Operation/ Trade & Position Life Cycle team.

In this role, you will be responsible for covering middle and back-office functions for Investment Trust Management (ITM) operation, Discretionary accounts operation, and Sub-advisory and Intermediary mandate operation.

You will manage daily BAU operational tasks, focusing on ITM funds and onboarding, and coordinate with local trust banks, clients, and sourcing providers. Your role includes leading both local and international onboarding activities that affect the Japan Operations team.

As the team lead, you will be the first escalation point before the manager, support team members, help achieve goals, promote communication, and drive process improvements.

We seek a candidate who builds strong relationships and delivers results, primarily overseeing BAU operational duties for ITM funds.

What you will do 

BAU Lead Fund Operations

• Supervise and support the Fund Operations team in daily operations and strategic initiatives.
• Facilitate communication and information sharing within and outside the team
• Act as the escalation point for complex or sensitive issues, ensuring timely and effective resolution.
• Oversee training, development of team members.
• Promote a culture of accountability, collaboration, and continuous improvement.
• Provide regular reporting and escalation to management
• Foster team motivation and a positive working environment

Operational Excellence

• Manage daily Investment Trust Management (ITM) operation
• Responsible for record keeping and statutory client reporting for onshore and offshore mandates
• Control day-to-day operations for onshore and offshore mandates, including cash management, monitoring transactions, settlement, and reconciliation
• Handle miscellaneous inquiries and trouble shooting
• Prepare periodical regulatory reporting regarding discretionary mandates
• Oversee service outsourced providers performance and lead regular service reviews
• Ensure robust oversight of daily and weekly controls, including dispute resolution, failed collateral movements, and onboarding activities.
• Monitor and validate key performance indicators and operational reporting.
• Maintain and enhance operational procedures and documentation.

BAU Change & Projects

• Understand client requirements, structure of accounts/funds and liaise with internal stakeholders and outsourced agents.
• Structure the operational workflow and coordinate the account set it up with the relevant parties appropriately
• Actively contribute to projects and initiatives including project steering and serving as a subject matter expert on Japan ITM business related topics
• Represent the team in audits

Process Improvement & Innovation

• Identify inefficiencies and lead initiatives to enhance automation, scalability, and risk mitigation within collateral processes.
• Define and implement remedial actions, ensuring effective follow-up and delivery.
• Foster a culture of innovation and continuous improvement within the team.

Stakeholder management & Cross-Functional Collaboration

• Collaborate closely with internal stakeholders such as EU and Global team, Portfolio Management, CAM, Legal, Risk as well as external service providers, building strong partnership.
• Be trained and provide support across other Ops functions to foster team resilience 

What you bring  

• Bachelor’s degree or higher with 5–7+ years in ITM, financial, or asset management industries
• ITM accounting or oversight of outsourced accounting preferred
• Strong understanding of trade life cycles and middle/back office processes
• Adaptable to evolving client needs and market conditions
• Experience leading operations projects and managing stakeholders locally and internationally
• Skilled at working with diverse teams, coaching, and giving feedback
• Track record of improving team performance
• Proactive, creative, and hands-on approach to workflow improvement
• Problem solver with delivery focus
• Excellent communication, interpersonal, and client service skills
• Committed to continuous process and structural improvements
